Hire Terms
By hiring Escena's event styling and set-up services, you agree to comply with the following terms and conditions. Please read them carefully.
Booking Confirmation
• Bookings are made upon receipt of payment and security rental bond. Your Booking Confirmation will be sent to your email and may take up to 6 hrs.
• You must review all booking details, including date, time, and location, to ensure accuracy.
• Any changes to your booking must be communicated in writing at the latest 72 hrs before the event and may be subject to additional fees or availability.
Payment and Bond
• Full payment of hire fee + refundable security bond is required to secure your booking.
Cancellation and Rescheduling
• Cancellations made 72+ hours before the event are eligible for a full refund
• Cancellations made 72 to 48 hours before the event are eligible for an 80% refund.
• Cancellations made 48 to 24 hours before the event are eligible for a 50% refund.
• Cancellations made less than 24 hours before the event are non-refundable.
• Rescheduling is subject to availability and may incur additional fees.
• All cancellations will receive full security bond refund.
Delivery and Collection
• Delivery and set-up are included for bookings within location options available. Additional fees may apply for locations outside the options specified.
• The set-up site will not be relocated more than 5 metres from the original location.
• Collection and dismantling will occur at the agreed time. Late collection requests may incur additional charges.
Customer Responsibilities
• As the Customer, the set-up area must be left tidy, and free of loose rubbish for our team to easily and safely set-up and collect.
• The Customer, where necessary will provide accurate information when leaving the set-up area earlier than booking time.
• In some cases the Customer is responsible for ensuring site access and readiness for set-up.
• Escena is not responsible for delays caused by inaccessible sites or unforeseen customer-related issues.
Hire Items
• All hire items remain the property of Escena.
• The Customer is liable for any damage, loss, or theft of hire items while in their care.
• Replacement or repair costs will be charged for damaged or missing items.
Special Requests and Customisations
• Custom themes, color palettes, or dietary requirements must be communicated at least 48 hrs before the event.
• Escena will make reasonable efforts to accommodate requests but cannot guarantee availability.
Weather Contingency
• For outdoor setups, Escena will offer a contingency plan for bad weather (e.g., alternative indoor location or shelter).
• Escena reserves the right to cancel or modify outdoor set-ups in unsafe conditions.
Liability
• Escena is not liable for any injuries, accidents, or damages occurring during the use of our services or hire items.
• The Customer assumes all risks associated with the use of hire items.
Additional Fees
• Additional fees may apply for:
- Extended hire periods
- Customizations
- Last-minute changes
- Delivery outside standard service areas
